How to Plan a Birthday Cruise on the Gold Coast
A birthday cruise is easier to organise when you settle three things first: who is coming, how the group will share the cost and how much time you want on the water. The cake, playlist and photos can then fit around a clear plan.

Start with the guest list and the kind of birthday you want
A relaxed family birthday needs a different plan from a lively celebration with friends. Ask the guest of honour what they would enjoy: time to talk, music and photos, or a longer afternoon with food and a toast.
Make one guest list and include the birthday person and any children in the total. Inspiration accommodates a maximum of 25 guests. If minors are attending, responsible adults or guardians must supervise them throughout the cruise; crew handle operations and safety.
Choose one organiser to coordinate the booking and another person to manage food or the cake. That keeps the birthday person free to enjoy the day and avoids three guests arriving with the same supplies.
Work out the whole group’s budget before collecting money
Our standard private charter rate is $690 per hour including GST and the fuel levy, with a two-hour minimum. These are whole-yacht prices, rather than individual tickets:
Two hours: $1,380 total. Shared equally by 20 paying guests, that is $69 each.
Three hours: $2,070 total. Shared equally by 20 paying guests, that is $103.50 each.
Four hours: $2,760 total. Shared equally by 20 paying guests, that is $138 each.
Those examples cover the charter only. Allow separately for food, drinks, the cake, parking, transport and any agreed extras. Check the current pricing for your date, particularly for special events.
If the group is treating the birthday person, divide the total by the number of people paying. For example, a three-hour cruise with 20 guests in total and 19 contributors works out at approximately $108.95 per contributor before food and other extras. Fewer contributors increase everyone’s share, so decide how you will handle guest cancellations before collecting money.
For standard advance bookings, a $500 deposit secures the cruise and the balance is due two weeks before departure. If you are booking within that period, check the payment amount shown at checkout. Read the booking and cancellation terms before committing your group.
Choose a duration that leaves room for the celebration
Two hours can suit a focused celebration with a playlist, a toast, photos and simple food. Keep speeches short and avoid a complicated programme.
Three hours gives you more room to serve food, gather everyone for a birthday moment and still have time to relax. It is the example used in the run sheet below.
Four hours suits a group that wants a slower pace. If an island visit or swimming is part of your idea, discuss it before booking: routes and stops depend on available time, conditions and the skipper’s assessment.

Keep food, cake and decorations simple
BYO food and drinks are welcome; red wine is not permitted onboard. We provide a large esky with ice, cups, plates, plastic champagne flutes and tumblers. Choose food that is easy to share and serve, and ask guests about dietary requirements before ordering.
Bring the cake in a secure box and check any storage or serving requirements with us beforehand. Nominate someone to carry it, bring any specific serving items you need and choose a birthday moment that gives everyone time for a slice. Confirm any candles or special effects before bringing them.

We do not provide decorations or styling. Small removable decorations are welcome when safe, with no confetti or permanent adhesives. Discuss larger setups and any early access in advance rather than assuming extra setup time is included.
Prepare a playlist on one phone to connect to the onboard sound system. Downloading the music beforehand makes one less thing to organise on the day.
A sample three-hour birthday cruise run sheet
Here is an example for a 2pm–5pm charter. It is a planning outline, not a promise of availability or a fixed route:
1:50pm: guests meet at the public pontoon at 73 Cavill Ave, Surfers Paradise, ready for boarding.
2pm: departure, with boarding and safety instructions from the crew.
Early in the cruise: settle in, put on the playlist and share food.
Around the middle: gather for a short birthday toast, cake and group photos when the crew advises it is suitable.
Final hour: enjoy the scenery and time together, allowing time to gather belongings before returning.
5pm: the charter finishes; leave a comfortable gap before dinner reservations or onward transport.
Give the crew your preferred birthday moment before departure, and keep the rest flexible around conditions. If the event is a surprise, coordinate the guest of honour’s arrival with your organiser in advance.
Send one clear message to every guest
Once the booking is confirmed, send the same practical details to the whole group:
The confirmed date, start and finish times, plus an arrival time 10 minutes before departure.
The boarding point: public pontoon, 73 Cavill Ave, Surfers Paradise QLD 4217.
Paid parking is available at Circle on Cavill and in nearby street spaces, subject to availability and posted restrictions. Allow time to park and walk to the pontoon.
What each person is bringing and what they owe the organiser.
Non-marking or white-soled shoes, or barefoot onboard; no red wine.
Sun protection and a light layer suited to the forecast.
For groups of 15 or more, provide your final headcount 48 hours before departure. Check the cruise information and terms for any other arrangements relevant to your booking.
